Terms & Conditions

Last updated: Dec 01, 2025

Welcome to Island Escape Concierge (“IEC”). These Terms & Conditions govern all services, bookings, villa arrangements, add-on services, concierge requests, and travel coordination provided by IEC. By submitting a reservation request, signing the contract, or using any of our services, you agree to these Terms.

A $500 non-refundable planning deposit is required to initiate concierge services.
All remaining balances must be paid prior to arrival.
Cancellations made within 30 days of arrival are non-refundable.

Island Escape Concierge works with trusted independent vendors. While we strive
to deliver exceptional service, we cannot be held responsible for the performance
or availability of third-party providers.

1. Scope of Services

IEC provides concierge services, villa booking assistance, itinerary creation, provisioning, transportation coordination, private chef services, excursions, spa treatments, event planning, and general travel support within the U.S. Virgin Islands and other supported destinations.

IEC acts as an intermediary. Many services — including villas, transportation, excursions, chefs, equipment rental, and spa treatments — are provided by independent third-party vendors. All bookings are subject to vendor availability and vendor policies.

2. Villa Quality & Third-Party Vendor Disclaimer

IEC does not own, maintain, or control the villas, vehicles, boats, chefs, excursion companies, or other third-party service providers.
Accordingly:

  • IEC is not responsible for the quality, condition, maintenance, service level, safety standards, or performance of any villa or third-party vendor.
  • IEC is not liable for structural issues, mechanical failures, interruptions of utilities, amenities not meeting expectations, or any dissatisfaction with accommodations or services delivered by third-party providers.
  • Any claims, adjustments, or disputes related to villa quality or vendor performance must be addressed directly with the provider, although IEC will assist with communication when possible.

You agree to release IEC from any liability relating to the performance, condition, or service standards of third-party vendors or properties.

3. Reservation Requests & Payment

Requirements

✔ $500 Commitment Deposit (Required)

Once the client has reviewed and signed IEC’s Service Contract, a non-refundable $500 deposit is required to activate services.

  • IEC will not proceed with villa search, detailed itinerary building, vendor scheduling, or reservations until the deposit is received.
  • The $500 deposit is credited toward the final cost of the client’s total service invoice.
  • The deposit becomes non-refundable regardless of whether travel is completed.

✔ Final Payments & Payment Plans

IEC offers a flexible payment plan to help clients pay down their balances prior to arrival. Suggested schedule:

  • 90+ days before arrival: Minimum 25% of estimated total cost due
  • 60 days before arrival: Additional 25% due (total 50%)
  • 30 days before arrival: Remaining balance due in full

All excursions, chef services, transportation, provisioning, add-ons, and staffing must be fully paid prior to guest arrival unless otherwise agreed in writing.

If the reservation is made less than 30 days before arrival, full payment is required immediately upon confirmation.

4. Cancellation & No-Refund Policy

✔ NO REFUNDS if the client cancels within 30 days of arrival

If a client withdraws, cancels, or significantly alters their reservation within 30 days of the scheduled check-in, all payments made — including the $500 deposit — become fully non-refundable.

This includes changes in travel dates, reduction of service needs, or a decision not to utilize IEC services.

Additional Notes

  • Third-party vendors may have stricter cancellation policies; the client agrees to those policies as well.
  • Refunds issued by vendors are at their sole discretion.
  • IEC is not responsible for vendor-related refund decisions.

5. Client Responsibilities

Clients must:

  • Provide accurate travel information, dates, and guest details.
  • Follow villa rules and local laws.
  • Cover any damages caused by themselves or guests.
  • Maintain communication with IEC for scheduling, updates, and access arrangements.

IEC reserves the right to withdraw services without refund if client behavior is unsafe, fraudulent, abusive, or obstructive.

6. Liability Limitation

To the fullest extent permitted by law:

  • IEC is not responsible for injuries, accidents, losses, theft, utility outages, transportation delays, property issues, mechanical failures, or service interruptions.
  • IEC is not liable for the actions, behavior, or performance of third-party vendors or property owners.
  • Travel involves inherent risks; IEC is not liable for weather disruptions, natural disasters, illness, pandemics, airline delays, ferry interruptions, or government advisories.
  • IEC’s liability, if ever applicable, is limited strictly to the fees paid to IEC for its services.

Clients are strongly encouraged to purchase travel insurance, medical coverage, cancellation insurance, and coverage for lost/stolen items.

7. Intellectual Property & Website Use

All text, imagery, itineraries, and branding created by IEC are protected under U.S. and international law. Clients may not reproduce or use IEC materials for commercial purposes without written permission.

8. Governing Law

These terms are governed by the laws of the U.S. Virgin Islands. Any disputes shall be resolved exclusively in the courts of the USVI.
